Spheris - Employee Communications

Spheris, is a leading global outsource provider of medical transcription technology and services to more than 500 health systems, hospitals and group practices throughout the U.S. with more than 5,500 professional medical transcriptionists (MTs) located throughout the US and India.

Challenges
Communicate the corporate vision and develop a sense of unity among a geographically dispersed workforce, most working from their homes. Share information to help employees better perform their jobs. Recognize employee achievements.

Solution
Utilize multiple media to strengthen employee communications. Parthenon’s integrated approach leverages the strengths of each print or digital vehicle to best convey and reinforce messages. Because most Spheris employees do not interact with each other in an office setting, the communications they receive from the company must serve as a unifying force. The appropriate use of both print and electronic communications helps Spheris communicate a set of corporate values, provide ongoing support for quality and productivity and demonstrate the value it places on employees through recognition and awards programs.

The bi-monthly Fullcircle newsletter educates employees about the industry and the company’s place in it. Articles focus on Spheris’ current and future business plans, illlustrate the company’s commitment to retain high quality medical transcriptionists and reinforce corporate values through the “employee as hero” profiles.

To provide critical quality and productivity information for Spheris’ MTs, Parthenon created Fullcircle on Quality, a monthly enewsletter that receives wide organizational praise and consistently has open rates exceeding 75 percent.

To recognize employee personal and professional milestones, Parthenon developed Spheris eCards. These personalized, triggered email communications wish employees happy birthday, recognize employment anniversaries and offer commendations for productivity and quality performance. Since a majority of the Spheris workforce has little interaction with other MTs or the corporate office, the eCards serve as a well-received acknowledgement of the MTs and their critical role at Spheris.

Parthenon also manages the Spheris Intranet, the employees’ information portal where individuals can access employee benefits, review the latest company news, learn about other departments, and communicate with other employees via forums.
